Privacy Policy

This Privacy Policy explains how Workfied ("we", "our", or "us") collects, uses, stores, and protects your personal information when you use the Workfied website, mobile applications, and related services (together, the "Services"). Workfied is a personal work-memory product that lets you record short voice or text logs about your working day and generates documents — such as updates, reviews, and goal summaries — from them.

1. Information we collect

Workfied collects information to provide personalized, AI-assisted work documentation, including:

• Account information — your name, email address, and password (stored as a salted hash), plus optional profile details such as your role or target level.
• Work logs — the voice recordings and text entries you create. Voice audio is transcribed and, by default, the audio file is then discarded; only the transcript is stored. You can opt in to keeping audio.
• Derived content — the tasks, wins, blockers, people, projects, goals, and documents Workfied builds from your logs.
• Payment and billing information — such as your billing address and the payment details required to process a subscription. Card data is handled directly by our payment providers (see Payments).
• Device and usage data — device model, operating system and app version, IP address, crash reports, and feature-usage events, collected automatically to keep the Services secure and working and for our internal analytics.
• Optional calendar metadata — if you connect a calendar, we read event titles and times to prompt you after meetings. Calendar data is processed on your device and is not stored on our servers.

2. How we use your information

We use your information solely to:

• Provide personalized AI assistance — transcription, extraction, search, and document generation from your own logs.
• Improve your workflow and the Workfied service and user experience.
• Communicate with you — transactional messages (verification codes, account and billing notices) and, only with your consent, product news.
• Maintain and secure your account, prevent abuse and fraud, and debug crashes.

3. AI processing

Transcription and document generation may be performed by vetted AI processing partners acting under data-processing agreements. Content sent for processing is encrypted in transit, is not retained by the processor beyond the request, and is never used to train their models. Where on-device processing is available for your hardware, we use it by default. Generated documents are drafts produced from your own logs by automated systems and may contain errors — you are responsible for reviewing them before relying on or sharing them.

4. Anonymized and aggregated insights

To help Workfied get sharper for everyone in your field, we use anonymized, aggregated patterns from all users — never your actual words, never anything that identifies you personally, and never your employer (which we don't ask for or store). This only kicks in once at least 5 people in your field have shared similar signals, so no individual can be recognized. This is on by default; you can turn it off any time in your Profile settings.

5. Data security

Your privacy and security are our top priorities. We implement industry-standard security measures, including:

• Encryption for data in transit using TLS 1.2 or higher
• Encryption for all data at rest (AES-256)
• Secure connections for database communications
• Restricted, logged, and reviewed access to production systems
• Regular security reviews and updates

However, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure. If we ever become aware of a breach affecting your personal data, we will notify you and the relevant authority within the legally required window. 6. Data storage and protection

All user data is stored securely in encrypted format. We use enterprise-grade cloud infrastructure with strict security protocols. We never sell, rent, or trade your personal data with third parties.

7. Payments

If you purchase a subscription, your payment is processed by our payment providers, Razorpay and Stripe. Card and payment-instrument details are handled and stored by them, not by Workfied. Their handling of your information is governed by their own privacy notices: razorpay.com/privacy and stripe.com/in/privacy.

8. Cookies and consent

We use cookies and similar technologies to control tracking on our website:

• Strictly essential. Some scripts are necessary for the site's core functionality, such as authentication and form submissions. These cannot be disabled.
• Analytics & marketing. We use third-party tools to understand user behavior and deliver relevant content. You can manage these preferences at any time.
• Your rights & withdrawal. You have the right to withdraw your consent at any time.

9. Your data rights

You have complete control over your data. You can:

• Access the information we hold about you at any time
• Request a copy of your data
• Correct inaccurate or outdated information
• Delete your data partially or completely at any time
• Opt out of specific data-collection features
• Terminate your account and remove all associated data

10. Data deletion

You can delete your data in several ways:

• Through the app's privacy settings (Settings → Account)
• By contacting our support team at support@workfied.com
• By deleting your account, which removes all associated data

11. Data retention

We retain your data only as long as you remain an active user of our service, unless a longer retention period is required or permitted by law (such as tax or accounting requirements). If you delete your account, your logs and derived content are deleted, and remaining account data is removed within 30 days.

12. Legal basis for processing (EEA / UK users)

If you are an individual in the European Economic Area (EEA) or the United Kingdom (UK), we collect and process information about you only where we have legal bases for doing so under applicable EU and UK laws. We rely on these bases where:

• We need it to provide you the Services, including to operate the Services, provide customer support and personalized features, and protect the safety and security of the Services (contract);
• It satisfies a legitimate interest that is not overridden by your data-protection interests, such as research and development, marketing, and protecting our legal rights;
• You give us consent to do so for a specific purpose (which you may withdraw at any time); or
• We need to process your data to comply with a legal obligation.

13. Service providers

We may engage trusted service providers to help operate our service — for example, cloud hosting, AI processing, and payment processing. They are bound by strict confidentiality and data-processing agreements and cannot use your data for any other purpose.

14. Children's privacy

Workfied is a workplace product and is not directed at anyone under 16. We do not knowingly collect information from children under 16 years of age.

15. Legal compliance

Workfied complies with applicable data-protection laws and regulations, including the General Data Protection Regulation (GDPR), the California Consumer Privacy Act (CCPA), and other applicable state and federal privacy laws.

16. Changes to this policy

We will notify you of any material changes to this Privacy Policy through in-app notifications, email notifications, and updates on our website, at least 14 days before they take effect where practicable.
